Catalog Store

Catalog Store is the collection of catalogs available in Luma Knowledge. Every catalog imported from your ITSM system or created manually is listed in the Catalog Store. Administrators use the section to manage metadata and other details related to the catalog.

Filter and Search Catalog

Luma Knowledge allows Curators/Administrators to Search for Catalogs available. You may search for a specific catalog using Catalog Name or Description or create Simple Filters and filter the list of catalogs. These filters can be configured and saved for future use.

To view a Catalog, follow the below steps:

  1. Navigate to Catalog Management → Catalog Store.

  2. On the Search, add the filter criteria. You can search on the Catalog name or description.

  3. Click on Search. The Catalog list is filtered based on the criteria provided.

  4. Click on the Catalog item to view details.

To Create a filter, do the following:

  1. On the Search, click on Filter.

  2. The Simple Filter pop-up lists the already saved filters. You may select and apply one of the existing filters or create a new filter.

  3. Click on New.

  4. Add the required criteria such as Category(s), Created date, Created By, and Modified By.

  5. Provide a Filter name and click on Save to save the filter for future use.

  6. Click Apply filter.

  7. The catalog list is filtered based on the filter applied.

  8. Select the required catalog to view the details such as Name, Description, Image, and Metadata in Quick view.

  9. Click on the catalog ID to view the Catalog Detailed view. Here you can review and update the Catalog as required.

View Catalog

The Catalog Detailed view allows the administrator to manage catalogs available in the system. Here, you can manage catalog details.

The below details are available on the screen:

General Information

This section holds general information about the Catalog. The details are captured when the catalog is created in Luma Knowledge.

  • Catalog ID: The unique sequence number assigned to the Catalog once created in Luma Knowledge.

  • Catalog Name: This is the display name for the Catalog.

  • Status: Indicates the current catalog status (Active / Inactive). Only Active Catalogs are available to the end users.

  • Image: The image associated with the service catalog. The image is displayed to the end-users in the Luma VA search.

  • Description: Description added to the catalog during Catalog creation. Information in the Description is used to generate keywords.

  • Reconciliation Key: The reconciliation key is unique and generated automatically by the system. The key is used to identify and sync Catalogs between the source ITSM system and Luma Knowledge.

  • Modified Date: This is the Date and Time when the catalog was last synced or modified in the system.

  • Created Ticket: The count indicates the number of tickets created using the catalog.

  • Category Graph: Categories are used to classify the catalogs. The graph shows the category hierarchy mapped to the catalog.

Content:

  • Form URL- This is the Service Catalog form url from the source ITSM system. End-users are redirected to the form URL when they access Catalog.

  • Short Solution- The field contains the Short solution to the catalog. This is optional.

  • Knowledge Article- If the catalog has an external or internal Knowledge Article, the article link is available in the section.

Metadata:

  • Categories- Categories are used to classify the catalogs. The Categories linked to the catalog are available here. You can add multiple categories to your catalog.

  • Key Words- Keywords are the metadata or tags that are used by Luma Knowledge to identify catalogs. Add as many keywords as required.

  • Actions- An action word (predicate) is usually a verb. Action word(s) indicate the purpose of the catalog.

  • Motivations- Motivation is a term or phrase that verbalizes why someone would want to see the catalog.

Permissions:

This section indicates who has access to the Catalogs. Only the users who have access to the catalog can use the catalog to create well-formed requests in the ITSM system. The Permissions are sysned from the ITSM system as part of Catalog sync. You may also add the Users and Groups here.

  • The fields on the Catalog are configurable. If you wish to add or remove the catalog fields, you may get in touch with Serviceaide Support Team.

  • Any changes made to the catalog here are NOT synced back to the source ITSM system.

  • During sync, the changes made to the catalog metadata is appended with any new changed from the surce.
