Channel Notifications
Communication is a vital part of any organization. For example, an IT organization would need to update the outages or upgrade activities to the employees. This article talks about how an administrator could use Luma to send a notification to all the registered users from the Luma.
To navigate to Channel Notifications, go to Tenant menu → Settings → Channel Notification tab.
Notify Users
The Notifications page allows you to view the list of configured notifications. You can create and send these notifications to end users.
Create Notification
To create new notification, do the following:
Click on Create Notification. You can define the notification name, message and recipients (individual users or user groups):
Name: Notification name that is used to identify the notification in the list. e.g. “Mail Server outage”, is the name of the notification in the given example.
Status: Current status of the notification. By default the notification Status is set to Active. Only Active notifications can be sent to users.
Message: This is the message sent from Luma to the end user as part of the notification.
Select Text, Cards or Image to define the format of the message.
Text: Text allows to define a simple text message.
For example, use text to send a plain text like ticket information, Outage message.Cards: Cards allow sending actionable messages along with an image(optional) that include buttons which can be used to trigger a Skill. The payload is sent back to Luma. If you want to trigger a skill with the skill command, the correct skill command should be configured. For more information on commands see Create Skills.
For example, When a particular question from user is to be answered with multiple options then cards with options “high“, “medium“ and “low” can be defined.Image: Image allows you to define a message along with an Image and a text to be displayed as tooltip.
For example, if you want to convey the message with an image or list of images that do not require any response from the user then this type of response can be selected.
Configure Recipients
While creating a notification you can add recipients who will receive the notifications. You can add individual users or User Groups.
Once all the mandatory fields are filled in, the Create button is enabled. Click on Create to save the Notification. The newly created notification is now available in Channel Notification list.
Once the notification is created, Send button will now be enabled. Click on Send button to send out the Notification. Refer the Send Notification section below for more details.
Please select Public Group in case the notification should be sent to all the registered users.
Copy and Edit Notification
Once a notification is created, it is now available in Notification list. You may search for the required notification, reuse it or edit it for further enhancement.
Search
To search a notification, do the following:
Search for the notification using ID, Notification Name, Created By or Last Updated by.
Type the text in the Search field as shown in the below image.
Press Enter.
The Notification list will be filtered as per the applied criteria.
Edit
Clicking Edit allows you to make changes to the existing notification. To edit a notification, do the following:
Select the required notification from the list. The notification details page appears as shown below.
Click Edit. All fields are now available for modification.
Update the required details and click Save to save the changes.
Editing a notification modifies the original copy of the Notification.
Copy
This functionality is used to create duplicate copy of the existing notification which can be used for different set of users/groups with required changes.
There are two ways to copy a notification:
Within the Notification:
Select the required notification from the Notification list by clicking on the record (except the Notification Name).
On the view screen, click on the Copy button.
Create notification screen appears with the details copied from the original Notification. All the fields are editable.
Update the details as required and Click Save to create a new notification.
From Notification List
On Notification list, hover over the required notification.
A Copy button appears on the record. Click the copy button.

Send a Notification
Once the Notification is ready, an administrator can push the notification to the selected users in the recipient list. Once sent, users will receive the defined message on their chat channels.
There are two ways to Send the notification:
Within the Notification:
Select the required notification from the Notification list by clicking on the record (except the Notification Name).
On the view screen, click on the Send button.
Select the Channel to which the Notification is to be sent. By default, it is set to the “Last Used” channel. You may select any other configured channels for your tenant.
Confirm by clicking Yes to send the notification or click No to cancel the send process.
To ensure that most users receive the notification, it's highly recommended to use "Last Used" as the channel.
Last Used will send the notification to the targeted user's last used chat channel. Selecting a specific channel such as Slack, will not send the notification to users who are not registered with that Channel.
From Notification List
On Notification list, hover over the required notification.
A Send button appears on the record. Click the Send button.
Select the Channel to which the Notification is to be sent. By default, it is set to the “Last Used” channel. You may select any other configured channels for your tenant.
